The Foundation is supported by our dedicated volunteers. They provide a broad source of expertise, talent, and people-power for our programs. We welcome all enthusiastic volunteers who believe that STEM learning is not only an enjoyable experience, but also necessary for today’s youth.

 

Sacramento Regional STEM Fair

Make an exciting difference in the educational future of local 5th to 12th grade students by volunteering for the Sacramento Regional STEM Fair! Volunteers can assist with judging, registration, crowd control, food services, awards, and much more.  We’ve made it simple – you can sign up on-line to be a volunteer and only commit to hours that work for you. We appreciate any time you would like to devote and we would like to invite you visit the STEM Fair as well as the College & Career Expo. Students can volunteer at the Fair to fulfill community service requirements for many area middle and high schools, too!

 

Internships

During the winter months, the Foundation recruits Outreach & Event Organizer interns. The interns work primarily with the Coordinator for this dynamic fast-growing Foundation, and assist the Staff in a number of activities, special projects, research assignments and administrative duties. The main focus of this position is to promote, develop and support the programs. The Foundation is a regional association with a small office so a lot of work is produced with a very quick turnaround.

 

The Foundation works with universities in obtaining credit, and can offer great letters of reference, assistance and referrals for future employment. This position is unpaid. For more information, please contact us.

General Volunteer

THERE IS NO "I" IN TEAM, BUT THERE IS A "U" IN VOLUNTEER! Make an exciting difference in the educational future of local 5th to 12th grade students by volunteering for the Regional Fair! General volunteers can assist with judging, set up, assembly, registration, crowd control, food services, awards, tear down and much more. We welcome all enthusiastic volunteers who believe that STEM learning is not only an enjoyable experience, but also necessary for today’s youth. See scheduling below:

FRIDAY NIGHT

Volunteer Check-In

1:00PM - 5:30PM

You will be seated at a table marked Volunteer Check-in. You will check off any volunteers on the list who arrive and deliver their assignments. You will also help register new volunteers as they arrive and rotate them to each team lead.

 

Unload the Truck Volunteers

1:00PM - 3:00PM

Help the Foundation staff unload the U-Haul and deliver items to appropriate locations on campus. Ergonomic requirement: able to lift at least 25 lbs and stand for long periods of time.

 

Project Hall Set Up

1:00PM - 4:00PM

You will assist in organizing, covering and numbering tables in the exhibit hall. You may need to adjust some spacing of tables. You will fill balloons with helium and tie them to their respective tables. Ergonomic requirement: able to lift at least 25 lbs and stand for long periods of time.

 

Student Project Check-in Area Set up

2:00PM - 4:00PM

You will assist in organizing and arranging tables. Basic knowledge of computers is helpful. Ergonomic requirements: able to lift at least 25 lbs.

 

Parent Programming/College & Career Expo Set up

3:00PM - 8:00PM

You will use a provided map to assist in organizing and arranging tables. Ergonomic requirement: able to lift at least 25 lbs and stand for long periods of time.

 

Student Project Check-In

4:30PM - 7:30PM

You will be seated at the registration desk, where your job will be to ask the participants a list of questions to ensure they are following protocol and procedures of the Fair. You will then enter them into the database & provide them a check-in sticker. If there are any changes to a project, you will note it in the changes box on the computer. Once check-in closes, you simply leave the computers be. Ergonomic requirements: equal parts sitting and standing to reach for the check-in bag.

 

Scientific Review Committee (SRC) Table

4:30PM - 7:30PM

You will be seated at a table behind/near the project check-in desk, but before entering the exhibit halls. You will be sent students with banned or questionable items. You will go over the list of banned items to ensure that the item in question is not allowed into exhibit halls. You will provide the student with a pink slip, direct them to return the item to their car & return to the front your table. Once they return without the banned item, sign the pink slip & highlight the participant's name on the registration form. Direct the student to tape the signed pink slip to the back of their board. Once check-in is closed, return the registration spreadsheet to the Volunteer Team Lead. Ergonomic requirement: sitting

 

Student Set-Up Guide

5:00PM - 7:30PM

You will assist in leading the participants to their correct table number. You will be equipped with a map. Ergonomic requirement: walking, standing.

 

Line Management/Greeter

4:30PM - 7:00PM

You will assist in welcoming and directing the line of students, parents and teachers that forms. You will direct teachers with multiple projects to the correct line, answer any questions from participants in line and help identify banned items early. You will carry on conversations with multiple participants to ensure they are taken care of. Ergonomic Requirements: standing, walking, talking

 

Judges Check-in

6:00PM - 7:00PM

You will check-in judges who have signed up electronically and deliver their respective check-in bags. You will also be responsible for assisting new judges in registration. If someone is registering to be a judge on-site, you will help them fill out a registration form, collect the completed form & provide it to the Judging Team Lead. Ergonomic Requirements: sitting

 

 

SATURDAY DAY

6:00AM - 3:30PM (shift is split into manageable hours)

You will be seated at a table marked Volunteer Check-in. You will check off any volunteers on the list who arrive and deliver their assignments. You will also help register new volunteers as they arrive and rotate them to each team lead.

 

Judge's Breakfast and Student Orientation Set Up

6:00AM - 7:00AM

You will set up the buffet line for judges breakfast and student orientation. You will be required to wear food service gloves.

 

Student Project Check-In

6:00AM - 8:00AM

You will be seated at the registration desk, where your job will be to ask the participants a list of questions to ensure they are following protocol and procedures of the Fair. You will be in the judges room and check off judges from a spreadsheet as they check-in.

 

Information booth

Shifts of two hours from 8:00AM - 5:00PM

You will be seated at a table marked "information". You will have extra programs and knowledge of events to take place during the day. You will also know the times which student participants are to be at their projects or other events.

 

Judge's Headquarters

9:00AM - 3:00PM

You will assist in the delivery of the judge's assignments and the organization of the returned spreadsheets.  Ergonomic requirement: equal part sitting and standing

 

Scoring Organizer

9:00AM - 2:00PM

You will assist in organization of scoring spreadsheets and reconciling projects yet to be judged the required three times.

 

Exhibit Hall Door Monitor

9:00AM - 3:00PM

You will be seated outside of each exhibit hall, ensuring that ONLY judges and students are present inside. No public access is allowed during judging.

 

Security

9:00AM - 2:00PM

You will be walking inside each exhibit hall, ensuring that ONLY judges and students are present inside. All judges will have badges as well as shirts denoting that they are judges. No public access is allowed. You will escort public outside of the exhibit halls.

 

Exhibitor Check-In

8:00AM - 12:30PM

You will be seated at a table marked Exhibitor Check-In. You will check off exhibitors as they arrive, answer any questions and direct them to their exhibit table/area.

 

Exhibit Hall Runner

11:00AM - 2:00PM

You will take direction from the Scoring Organizers on which projects to check for scoring completeness.
